Andover Second Sundays Trader Process and Terms & Conditions

Andover Second Sundays is operated by Test Valley Borough Council in partnership with Hem Des LLP (Hemingway Design)

Application Procedure

1. Traders who apply for Andover Second Sundays are not guaranteed a place. The success of your application will be based on best fit for the event and consideration of how your stand will complement other traders.

2. Successful applicants will be notified and added to our list of registered Second Sundays traders. You will be able to register your interest for forthcoming market dates and will receive a confirmation email from the event organisers with a bespoke link to book and pay your deposit for each confirmed event.

3. We have curated a carefully selected roster of traders that will trade in rotation and this gives flexibility to the traders that may have other commitments and provides the ability to forward plan for the year.

4. The event organisers reserve the right to refuse and review applications, or cancel bookings (in which case any deposit paid shall be refunded) at any time.

Booking & Deposit

5. Each event requires a £50 deposit to secure your booking. This amount is deducted from the 15% commission due, or refunded within 14 days after the event.

6. Within your confirmation email you will find a secure link to an event page for each selected market in Pitchbooking.com. Your deposit payment must be made via this link, using a credit or debit card.

7. Your trade space is not confirmed until the full deposit has been paid.

8. If a trader has not paid by 7 days prior to the event opening, the event organisers hold the right to replace said trader and refuse a trading place. You will be notified if this is the case.

Event Fees

9. Second Sundays Andover operates on a 15% turnover rent of gross takings.

10. Traders will be expected to provide a Z reading or total turnover no less than 24 hours after the event, by email. You will also be expected to provide this information to the Market Manager at the end of the day.

11. Failure to provide turnover figures on request will result in loss of your £50 deposit.

12. There is an additional £5 charge for electricity usage. This is charged upon invoice after the event. This fee will be subject to annual review.

13. Test Valley Borough Council will issue an invoice for 15% of your total turnover minus the £50 deposit, plus electricity supply where applicable, within 14 days of the event. Payment is due on receipt.

14. If, the trader does not reach the £50 threshold, the event organiser will refund the £50 deposit via Pitchbooking.com to the payment card used at the time of booking.

15. Both the deposit and pitch fee are exempt from VAT.

Cancellation Policy

16. If a trader cancels a market booking in writing giving at least 28 days notice, their full deposit will be refunded. We aim to do this within 28 days of notice of cancellation.

17. If a trader cancels a market booking but does not meet the above cancellation policy criteria, their deposit will only be refunded if the event organisers can find an appropriate replacement – this decision will lie strictly with the event organisers.

18. In the event that a trader fails to give adequate notice for cancellation, and a suitable replacement cannot be found, the deposit will be deemed non-refundable.

19. If an event is cancelled or postponed by the event organiser, all traders will be offered the opportunity to transfer their booking to the NEXT AVAILABLE EVENT. In this case, the event organisers will aim to give at least 7 days’ notice unless, in unforeseen circumstances such as inclement weather or other reasons beyond our control by which we will inform traders as soon as possible.

20. Upon cancellation or postponement, traders will be contacted via. email with the next available event date and a deadline to which they must respond with their chosen option, deposit refund or transfer. The transfer option is only valid to use on the date stated by the event organisers and payments cannot be used as holding credit to future events. If the trader cannot make the date stated, then a refund must be issued. If the event organisers, do not hear back by the date stated, no refund or transfer will be issued and your booking will be cancelled.

Prohibited and Restricted Trading

21. Stalls representing political parties or political views are not permitted. Any trader breaching this prohibition will be required to leave forthwith.

22. Traders whose businesses require a licence or registration may only trade while such licence/registration is in force.
